How to Prepare Your Instagram Account for Posting

Instagram has a few rules for accounts that post through tools like your portal. A few minutes of setup now saves headaches later. Here is everything to check before you connect.

Use a professional account (Business or Creator)

Instagram only lets tools post through professional accounts, so a personal account cannot connect. Professional accounts come in two types: Business (a fit for most shops and venues) and Creator (aimed at creators and public figures). Either type works with the portal.

Switching is free and takes a couple of minutes in the Instagram app's settings. Your posts and followers stay right where they are. If you cannot find the option, the Instagram Help Center explains how to switch and what changes.

Link your Instagram to a Facebook Page

The portal reaches Instagram through Facebook, so your professional account must be linked to a Facebook Page. When you connect Facebook in the portal, the Instagram account rides along with its linked Page - there is no separate Instagram login.

You can link the two from your Instagram profile settings or from your Facebook Page's settings. The Meta Business Help Center walks through both routes.

No Facebook Page yet? Creating one is free and only needs basic business info. Even if Instagram is your main platform, the linked Page is what makes the connection possible.

Check the Instagram account during the connect flow

When you connect, Meta shows screens where you choose what to allow. Make sure your Facebook Page and its linked Instagram account are both checked there. Missed one the first time? Reconnecting shows the same screens again, so you can go back and check the Instagram account anytime.

Image rules: JPEG and the right shape

Instagram feed images must be JPEG files with a shape between 4:5 (tall) and 1.91:1 (wide). Instagram rejects images outside that range.

The good news: the portal handles most of this for you. Images you upload are converted to JPEG automatically, and the post composer includes crop presets - 1:1 square, 4:5 portrait, and 1.91:1 wide all fit Instagram's feed range. You will also see 9:16 and 16:9 presets in the composer, but for Instagram feed posts, stay inside the 4:5 to 1.91:1 range.

Instagram posts always need media. A text-only post can go to Facebook, but when Instagram is selected you must attach at least one image or video.

Turn on message access for DMs

Want to read and answer Instagram DMs from your portal inbox? Instagram requires you to flip one switch inside the app first - no tool can turn it on for you.

  1. Open the Instagram app and go to Settings.
  2. Tap Messages and story replies.
  3. Tap Message controls.
  4. Turn ON 'Allow access to messages'.
Even with the toggle on, Meta only lets tools reply within 24 hours of the customer's last message. For older conversations, reply from the Instagram app itself. See Meta's messaging policy.

Captions and @mentions

Whatever you write in the post composer becomes your Instagram caption. Hashtags are just text in the caption, so type them the way you normally would.

When you answer comments from the engagement view, typing @username in your reply creates a real mention, the same as tagging someone from the Instagram app.
